Commercial Facility Maintenance Pricing, Explained
Most facility management companies won't publish their numbers. We will. Here's how the industry actually prices commercial maintenance — and how we quote.
Why most FM companies won't show you pricing
Walk into ten commercial facility management websites and you'll find zero published rates. It's not a conspiracy — it's a real limitation. Commercial maintenance pricing depends on at least five variables that only show up after a site walk-through:
- Square footage — the biggest driver
- Systems in play — number of HVAC units, elevators, water heaters, etc.
- Service frequency — quarterly, monthly, weekly
- Industry — medical, food service, and industrial carry more compliance overhead
- Scope — cleaning only, handyman only, or full-stack FM
So nobody publishes a rate sheet. Instead, the industry runs on pricing benchmarks — ranges most competitive vendors fall inside. We'll show you ours.
The three pricing models we use
1 · Per square foot
$1.60 – $2.80 / sq ft / yearThe industry standard for bundled facility maintenance. Annual price is tied to the building size, converted to a monthly retainer for budgeting. Predictable and easy to benchmark across buildings.
Best for: Property managers, multi-building portfolios, long-term contracts.
2 · Monthly retainer
$0.10 – $0.18 / sq ft / monthA fixed monthly fee that covers scheduled preventive maintenance, defined scope, and priority dispatch. Overage and emergency work is billed separately at preferred rates.
Best for: Single-location operators who want predictable monthly facility cost.
3 · Time & materials
Labor + materials + tripFor one-off repairs, punch-list work, and overflow jobs without a contract. Rates are quoted up front and benchmarked to commercial-market standards. No minimum commitment.
Best for: Smaller properties, emergencies, or testing us before moving to a retainer.

Worked examples
To make the benchmarks concrete, here's what typical buildings look like at mid-range industry pricing:
Class B office — 25,000 sq ft
Bundled maintenance contract, monthly visits, one HVAC system per 2,500 sq ft, standard business hours.
25,000 sq ft × $1.80 / sq ft / yr
÷ 12 months
Range: $3,300 – $5,800 / month depending on scope.
Restaurant — 4,500 sq ft
Monthly retainer covering scheduled checks, walk-in diagnostics, lighting, and plumbing, plus priority after-hours dispatch.
4,500 sq ft × $0.15 / sq ft / month
Range: $450 – $810 / month + T&M for repairs.
Multi-tenant property — 100,000 sq ft
Full-stack facility contract across common areas and tenant response, bundled with HVAC program and consolidated monthly invoicing.
100,000 sq ft × $0.125 / sq ft / month
Range: $10,000 – $18,000 / month at portfolio pricing.
Medical office — 8,000 sq ft
Twice-monthly preventive maintenance with HIPAA-aware conduct, HVAC on a dedicated plan, priority emergency response.
8,000 sq ft × $2.40 / sq ft / yr
÷ 12 months
Range: $1,300 – $2,100 / month incl. HVAC.
Retail — 50,000 sq ft annual budget
Bundled annual maintenance budget for a mid-size retail space, covering preventive, reactive, and light capex through the year.
50,000 sq ft × $2.20 / sq ft / yr
Range: $80,000 – $140,000 / year total.
One-off repair visit
Punch-list handyman visit for a single office suite — no contract, billed time-and-materials with a 2-hour minimum.
2 hrs labor + trip + materials
Typical: quoted up front before work begins.
Examples use mid-range industry benchmarks. Your quote will reflect your building's specifics — we don't mark these up arbitrarily, and we show you the math.
What affects your specific price
- Age and condition of systems — older HVAC units take more labor.
- Tenant mix — medical and food service add compliance time.
- Access constraints — after-hours-only work carries a premium.
- Geography — rural Georgia vs. metro Atlanta affects windshield time.
- Portfolio size — we offer portfolio discounts on multi-building contracts.
- Contract length — 1-year vs. 3-year contracts price differently.
How we quote
- Walk-through. We visit your property, document systems, and understand your operation.
- Benchmarked proposal. We share our price alongside the industry benchmark so you can see where we fall.
- Scope negotiation. We adjust scope, frequency, or term length to land on a number that fits your budget.
- Signed contract. Typical terms are 1 to 3 years with annual CPI adjustments and 60-day termination.
